Availability Calendar
The Availability Calendar is a single screen where your agency sees free and occupied periods for all accommodation units in a chosen city — both your own and those you sell on behalf of partner agencies. Instead of checking offer by offer, you get a unified timeline with all capacity in one view.
Required role: Owner or Employee.
Administrators do not have agency context and cannot access the calendar.
How to open the calendar
Click Availability Calendar in the left sidebar.
What you see on screen
The page consists of a filter bar above and a card with the timeline below.
| Section | Description |
|---|---|
| Filter bar | A horizontal row of controls above the card. Every filter change refreshes the view automatically. |
| Card header | ‹ Week, Today, and Week › buttons for shifting the visible window. |
| Legend bar | A row of colored swatches below the card header explaining what each color means. |
| Corner (top-left) | Shows "Unit / Accommodation" and the number of units currently displayed. |
| Month and day strip (top-right) | Two rows: the first shows month names, the second shows the day-of-week abbreviation and date number for each visible day. |
| Unit labels (left column) | Unit name, tags (type / service / classification), and — for partner offers — a "Partner · Agency Name" badge. |
| Cells and bands (right of labels) | One cell per day. Bookings and free periods appear as colored bands spanning one or more cells. |
| Today line | A vertical blue line marking the current date. |
| Settings button | A floating gear-icon button in the bottom-right corner — opens the display-options panel. |

Filter bar
City
Required. Select a city from the dropdown. The calendar loads all accommodation units (own and partner) for that city.
If the city you need isn't listed, check whether your agency or your partners have accommodation offers with that city set.
Accommodation
Narrows the view to a single offer. Useful when you want to check availability for one specific property.
Leave blank to see all offers in the city.
Partners
A dropdown listing partner agencies that have offers in the selected city. Pick a specific partner to see only their units, or leave All partners to see everyone.
This control is only available when the Show partner offers toggle (in the More group) is turned on.
Period
Click the date button to open the date-range picker. Quick presets are available:
| Preset | Window |
|---|---|
| This week | Next 7 days |
| Next 14 days | — |
| Next 30 days | — |
| Next 60 days | — |
| Next 90 days | — |
Or click a start date and end date directly on the calendar, then click Apply.
You can also use the ‹ Week and Week › buttons in the card header to shift the window by 7 days, or Today to jump back to the current week.
Search unit
Filters rows by unit name. Helpful when a property has many rooms and you need a specific one (e.g. "Studio 3" or "Apt 201").
Unit type
Clickable chips: A1, A2, A2+1, A3, A4, A4+1, A6, Studio. An active chip shows only units of that type. Multiple chips can be active at the same time.
Service
Clickable chips: SN, BB, HB, FB, AI. Same logic as Unit type.
Classification
Clickable chips: Classic, Standard, Business, Premium, Luxury.
State
Controls which band colors are visible. For example, deactivate Free if you only want to see occupancy without the free periods.
| Chip | Shows |
|---|---|
| Free | Free bands with a price |
| Booked | Confirmed bookings |
| Optioned | Provisional holds |
| Blocked | Manually blocked periods |
| No price | Free periods with no price set |
More
A group of additional toggles:
| Toggle | Default | Effect |
|---|---|---|
| Active only | On | Hides inactive units. |
| Has price | Off | Shows only units that have at least one price in the selected period. |
| Show partner offers | On | Includes or excludes partner agency rows. When turned off, the Partners dropdown is disabled. |
Actions on the grid
Drag to create a contract
Click and drag across free cells on any unit row.
- As you drag, cells highlight to show the selection.
- Release the mouse button — a modal appears with a summary: nights, price per night, total, and a per-night breakdown.
- Click Create contract — the contract creation form opens with the unit, check-in date, and check-out date already filled in.
- Click Cancel to close the modal without creating anything.
Note: Dragging is not possible over cells in state Booked, Optioned, Blocked, No price, or Past. Always start from a free cell.
Click a booking band
Click any colored band (booked, optioned, blocked) to open the booking detail panel:
- Guest name
- Check-in and check-out dates
- Number of guests
- Link to the contract (the Open contract → button)
Settings panel
Click the gear button in the bottom-right corner to open the display-options panel. Settings are saved automatically per user.

Bookings
| Option | Description |
|---|---|
| Price display — Number | Shows the price number inside each free cell. |
| Price display — Heatmap | Colors free cells by relative price level (light = cheaper, dark = more expensive). |
| Price display — Both | Number and heatmap at the same time. |
| Price display — Hover only | Price appears only when you hover over the cell. |
| Show guest names | Displays guest initials and name on booking bands instead of just the contract number. |
Partner offers
If your agency has an accepted partnership with another agency and the partner's offers have resale enabled, those offers appear in the calendar automatically alongside your own.
How to identify them
- Teal and purple bands instead of dark navy and amber.
- A "Partner · Agency Name" badge below the unit name in the left column.
- A lightly tinted row background.
Creating a contract from a partner unit
Drag across free cells on a partner row — the contract creation form opens with the unit pre-filled. The platform automatically recognises the offer as a partner sale and shows the applicable earning percentage.
For more about partnerships see Agency Partnerships.
Frequently asked questions
Why is a city not in the dropdown?
The calendar only lists cities where your agency has accommodation offers, or where your partners have resale-enabled offers. If a city is missing, create an offer for it or verify the partnership status.
Why doesn't dragging work?
You can only drag over free cells (white background with a price). Cells in state Booked, Optioned, Blocked, No price, and Past do not respond to dragging. Start from a free cell and do not cross into those states.
I see no units even though I selected a city. Why?
Check the following filters:
- Active only toggle — inactive units are hidden.
- State chips — if all chips are deactivated, nothing is shown.
- Has price toggle — turn it off if some units haven't been priced yet.
- Show partner offers toggle — if turned off and you have no own offers in the city, the grid is empty.
How are partner offer prices calculated?
The price shown in the modal already includes the agreed earning percentage. No manual calculation needed. You can review the split on the partnership detail page. See Agency Partnerships.
Can I change the date range I'm looking at?
Yes — use the period picker in the filter bar for any custom range, or the quick presets (next 14, 30, 60, 90 days). The ‹ Week and Week › buttons in the card header shift the view by 7 days at a time.
